File Types Zoho Books Accepts
Zoho Books lets you import a bank statement file into a bank account in your organisation. Its help pages list CSV, TSV, XLS, OFX, QIF, CAMT.053 and CAMT.054 as importable formats. One Zoho page also lists MT940 and PDF (PDF only for a named list of banks and card providers), so the exact list can differ between help pages and regions.
The pages we read do not give a required header list for the CSV itself. Instead, Zoho Books asks you to describe the file during the import and then map your file’s headers to its fields, so you do not have to rename columns to fixed names.
The Three Amount Column Layouts
During import you choose an Amount Column Type, which tells Zoho Books how your file represents money in and out. The help pages describe three options:
• Double Column: one column for deposits and a separate column for withdrawals.
• Single Column and Amount Type: one column that says whether a row is a debit (withdrawal) or credit (deposit), plus a separate column holding the amount.
• Single Column with Negative Values: one amount column where positive values are deposits and negative values are withdrawals.
You also set the Character Encoding and the File Delimiter at this stage. Zoho advises checking your statement file to pick the right encoding.
Zoho’s error guide says that if you choose Double Column, or Single Column and Amount Type, the amount column should hold positive values. Negative values belong only with the Single Column with Negative Values option.
A Sample File for the Signed-Amount Layout
Here is a small synthetic example for the single signed-amount layout. Deposits are positive and withdrawals negative:
Date,Description,Amount
02-10-2026,CLIENT PAYMENT,1500.00
05-10-2026,OFFICE SUPPLIES,-84.20
11-10-2026,SOFTWARE SUBSCRIPTION,-49.00Zoho’s import-error guide (an India-region help page) says dates should be entered as DD-MM-YYYY, which is the format used above. The main import page we read does not state a date format, so check the preview rather than assuming. Zoho’s pages also do not state a file size or row limit for statement imports.
Map, Preview, Import
After choosing the file and settings, Zoho Books shows a mapping step where each header in your file is matched to a Zoho Books field; the best match is auto-selected. A preview step then lets you review the data and check for errors or unmapped fields before you click Import.
Imported lines arrive as uncategorised transactions, which you then match to existing records or categorise.
Common Causes of Failed Imports
Zoho’s error guide lists five typical causes: an unsupported file format, an incorrect date format, incorrect character encoding, the wrong amount column type for your file, and a negative value in the amount column when Double Column or Single Column and Amount Type is selected.
If the import fails, work through that list in order. If you are starting from a PDF statement, PDFtoRow converts statement PDFs to Excel/CSV, with a free 10-row preview.

Statements up to 5 pages are free once per email every 24 hours. Check the 10-row preview before you download.
Frequently Asked Questions
Pick the one that matches how your file is laid out: Double Column for separate deposit and withdrawal columns, Single Column and Amount Type when a separate column flags debit or credit, or Single Column with Negative Values when one signed column holds the amount. Zoho notes that banks differ in which layout they provide.
Zoho’s error guide says that with the Double Column or Single Column and Amount Type options, the amount column should contain positive values. If your file uses negatives for withdrawals, choose Single Column with Negative Values instead.
