Fix Duplicate Bank Transactions in QuickBooks Online

How Intuit says to confirm, find and remove duplicate bank transactions in QuickBooks Online, including overlapping file imports, and why exclude comes before delete.

Why Duplicates Appear

This guide follows Intuit’s help article on fixing duplicate transactions in QuickBooks Online bank feeds. Intuit says duplicates can happen if you reconnect an account or import a file that overlaps with your bank feed. It also lists adding a downloaded transaction instead of matching it, and recording one sale in two ways.

Other causes in the article: if the same account is connected twice, QuickBooks downloads every transaction twice, and two recurring templates with the same payee and amount can generate duplicate entries.

The upload article adds guidance for files: before uploading, check your Chart of accounts to avoid creating duplicates, and start the file at least one day before your oldest QuickBooks transaction in that account, or, per its video, find the date of the last transaction and select the next day.

Confirm It Is Really a Duplicate

Intuit’s first step is to check your bank or card statement. If the charge appears twice there, it is a real double charge, so contact the bank or processor rather than editing your books. If it appears once on the statement but twice in QuickBooks, it is likely a duplicate.

A synthetic example: the statement shows one line, “Coffee Supply Co 84.50,” but QuickBooks shows two lines of 84.50 on the same date. That points to a duplicate inside QuickBooks. If the statement showed two lines, the bank charged twice.

To look for duplicates, Intuit says to confirm the account appears only once under Bank transactions, then open the account’s register from the chart of accounts, set the date range with the filter, and sort by the Amount column. It warns about false positives: the All plus deposits view may show some transactions twice, so switch to All, and a payment and its deposit are a linked pair, not duplicates.

Statement: 05/12 Coffee Supply Co 84.50 (1 line) QuickBooks: 05/12 Coffee Supply Co 84.50 (2 lines) -> likely duplicate

Which Copy to Keep and How to Remove the Other

Intuit says to keep the reconciled copy, marked C or R. If neither is reconciled, keep the copy that is matched to other records or has attachments. The removal method depends on where the extra copy sits:

• On the For review tab (which may be called Pending): select the extra copies and choose Exclude. To undo, use the Excluded tab.

• On the Categorized tab (which may be called Posted): open the link in the Added or Matched column, select Undo, then match or exclude the transaction. If it is part of another transaction, undo that match first.

• Entered manually: open the register, select More, then Delete or Void.

Warnings From Intuit

Exclude before you delete. Intuit says: “If you delete the transaction instead, QuickBooks will download it again from the bank.” Excluding prevents this, and if the bank resends an excluded transaction, you delete it from the Excluded tab.

Do not disconnect and reconnect to fix duplicates. Intuit says doing so makes QuickBooks download past transactions again, which creates more duplicates. For sign-in problems it points to Edit sign-in info instead. Disconnecting an extra connection is safe, but Intuit says to make its account inactive and keep the original.

Deleting is final in the interface: Intuit says deleted transactions cannot be restored, although the audit log keeps their details for about 2 years. Voided transactions remain at zero.

Intuit says deleting a reconciled transaction can throw off your beginning balance, and advises consulting your accountant before unreconciling.

Preventing Repeat Duplicates

Intuit’s prevention list: match downloaded transactions to existing records rather than adding them, turn off auto-add on bank rules, connect each account only once, import only files that begin after your newest transaction in QuickBooks, use one method per sale (an invoice or a sales receipt, not both), and reconcile monthly to catch missed duplicates.

When preparing a file from a PDF statement, a spreadsheet makes it easy to trim rows before the last date already in QuickBooks. PDFtoRow converts bank statement PDFs to Excel or CSV, with a free 10-row preview.

Convert Bank Statement PDFs Cleanly with PDFtoRow

Tired of fixing broken columns, corrupted dates, and numbers stored as text? PDFtoRow extracts transaction tables directly from digital PDF vector layers, preserving check numbers and outputting true numeric amounts. Statements up to 5 pages are free once per email every 24 hours. Check the 10-row preview before you download.

Frequently Asked Questions

Intuit says to exclude duplicates that are still on the For review tab. If you delete a transaction instead of excluding it, QuickBooks will recognize it as unaccounted for and download it again from the bank.

No. Intuit says disconnecting and reconnecting makes QuickBooks download past transactions again, which creates more duplicates. It suggests Edit sign-in info for sign-in problems.
