Two Kinds of Upload in One Article
This guide follows Intuit’s help article “Manually upload transactions into QuickBooks Online.” It describes two routes that start from the same place: uploading an account statement as a PDF or image, and uploading a list of transactions as a file.
For the statement route, Intuit says you can upload a PDF or an image such as a JPG, PNG or HEIC, that the statement must be in English, and that it can be from any bank. In the article’s words, when you upload a PDF or image, its AI extracts the information from the account statement.
The list route accepts .csv, .txt, .qbo and .ofx files according to the upload steps, and the article’s guidelines also mention QFX.
PDF or Image Steps
Intuit’s steps for a statement are:
1. Go to All apps, then Accounting, then Bank transactions.
2. Select the account tile, if one exists.
3. Select Link account, then Upload from file.
4. Upload the PDF or image from your computer.
5. In the QuickBooks account dropdown, choose the account, or select Add New if none exists.
6. Select Continue.
7. Compare the side-by-side view of the statement and the extracted data, and edit any fields that need attention.
8. Select Save. The transactions appear on the Bank transactions page.
Intuit says it may tell you that some items need review, and that a team of global experts may check the statement. The article does not state a file size or line limit for PDF or image uploads, so we do not give one.
How the List Upload Differs
For a CSV or similar list, the steps start the same way, but after choosing the file and the QuickBooks account you map the file’s columns to QuickBooks fields, select the transactions to import, and confirm. Intuit’s video also suggests checking that amounts show as correct positives and negatives, and using “reverse all values” if they are reversed.
The list route carries stated constraints: the file must be in English and 350 KB or less, with up to 1,000 lines per upload. It needs either 3 columns (Date, Description, Amount) or 4 columns (Date, Description, Credit, Debit). Intuit also says to remove the word “amount” from Credit and Debit headers, leave zero-only cells blank, remove numbers from Description cells, and use one date format.

Intuit says to check your Chart of accounts before uploading, to avoid creating duplicate transactions. The statement or file should start at least one day before your oldest QuickBooks transaction in that account. For accounts already in QuickBooks, the video advises finding the date of the last transaction and selecting the next day.
Intuit also says to set up bank rules first so transactions are categorized as they upload. If duplicates do appear, Intuit’s separate duplicates article describes excluding them before deleting.
Review the extracted data against the statement before saving. Intuit’s own steps include a side-by-side comparison and editing step for exactly this reason.
When a Spreadsheet Is Still Useful
The statement route is described as AI extraction with review, while the list route depends on a clean file. If you prefer to inspect or total the statement lines yourself, or the account needs a CSV that meets the column rules above, converting the PDF to a spreadsheet first is one option.
We read a single Intuit article for this guide. Details such as how the experts’ check works or how long it takes are not stated there, so we leave them out. PDFtoRow converts bank statement PDFs to Excel or CSV, with a free 10-row preview.
