Before You Start
This guide follows Intuit’s help article “Reconcile an account in QuickBooks Online.” Intuit lists these prerequisites:
• Have the statement for the account ready.
• Make sure all transactions for the statement period are entered and categorized in QuickBooks.
• If you connected the bank or card, Intuit says QuickBooks enters the starting balance and downloads transactions for you.
If your statement only exists as a PDF, it can help to turn it into a spreadsheet first so you can check the totals and spot missing or duplicate lines before you start matching.
The Starting Details Intuit Asks For
The article walks through choosing the account, checking the last statement ending date, and entering two figures from your statement:
• Last statement ending date: Intuit says your new statement should begin the day after it.
• Ending balance and ending date: enter these from the statement.
Intuit’s article starts from All apps, then Accounting, then Reconcile, and says to select Get started on first use. Menu names change between versions, so follow the current article for the exact path.
The article also describes an optional AI-powered route where you upload the statement. Intuit says verification can take up to an hour, and that the ending balance and ending date are pre-filled after extraction, so you should check that they match your statement.
Confirm the beginning balance matches your statement before you start. Intuit says to select Edit info to correct it if it does not.
Matching Cleared Transactions
Intuit describes comparing the QuickBooks list with your statement and checking the box next to each transaction that matches. The Cleared balance updates as you check items. Intuit notes that bank-connected transactions often arrive already checked.
In the AI version, Intuit says “Cleared” means a transaction matches the statement’s description and amount, while “Review” means you must act on it before finishing. One bank line can match several QuickBooks transactions, for example a deposit that covers multiple customer payments.
A small synthetic example shows what the Difference is measuring. Suppose a statement shows an ending balance of 3,316.80, and the transactions you have checked add up to a cleared balance of 3,316.80. The Difference is 0.00. If you left one 49.00 payment unchecked, the cleared balance would be 3,365.80 and the Difference would be 49.00.
Statement ending balance: 3,316.80
Cleared balance: 3,316.80
Difference: 0.00When the Difference Is Not Zero
Intuit’s goal is a Difference of $0.00, which it says means your books match the statement. If you are not there, the article lists these steps:
1. Select Edit info and verify the beginning balance, ending balance and ending date.
2. Review transactions you entered manually, looking for errors or duplicates. Edit and save if needed.
3. Uncheck any duplicate.
4. If you still cannot find the error, Intuit says you can finish and accept the difference, in which case QuickBooks creates an adjusting journal entry for that amount. The article advises talking to your accountant first and resolving differences within the reconciliation whenever possible.
Finishing and Reviewing Later
Once the Difference is $0.00, Intuit says to select Finish now, then Done. QuickBooks saves a reconciliation report, and you can view past reconciliations by selecting History by account on the Reconcile page.
